NiX by Nicola Harding's Supplier Code of Conduct

Legal and Ethical Compliance:

Our suppliers must comply with all applicable laws and regulations in the countries where they operate. In addition, we expect them to uphold the highest standards of ethical conduct, ensuring that they avoid bribery, corruption, and any other unethical business practices. Our suppliers must comply with local and national environmental legislation and support NiX by Nicola Harding in achieving environmental targets. Energy consumption should be monitored to help towards implementing an annual Impact tracker by 2025. All chemical emissions must be tracked throughout the supply chain and the disposal of chemicals must be documented.

Environment:

Our suppliers must comply with local and national environmental legislation and support NiX by Nicola Harding in achieving environmental targets. Labour Practices -Anti Child Labour:

NiX by Nicola Harding strictly prohibits the recruitment or employment of child labour. Children under the age of 15, or a higher age if required by local laws, shall not be recruited or employed. In addition, children and young persons under the age of 18 shall not be employed at night or in hazardous conditions. Our policies align with relevant International Labour Organisation (ILO) policies.

There shall be no forced, bonded, or involuntary prison labour. Workers must not be required to lodge deposits or their identity papers on commencement of employment. Workers must have the freedom to leave their employer after reasonable notice.

Labour Practices - Hours of Work and Regular Employment:

Our suppliers must maintain accurate attendance, payroll, and production records. Overtime must be voluntary, and all employees should receive at least one rest day every seven. Overtime should be paid at a premium rate. Our suppliers must work towards compliance with ILO guidelines and national laws. Conditions for contract termination should be transparent and conform to established company practices and local law.

Employee Representation:

Our suppliers must respect the rights of employees to join or form an association of their choosing, such as a workers' council, union, or workers association. In situations where local laws restrict these rights, employers should facilitate the development of parallel means for independent and free association. Representatives must not face discrimination and should have access to carry out their representative function in the workplace.

No Discrimination:

There must be no discrimination in hiring, compensation, access to training, promotion, termination, or retirement based on various factors, including race, caste, nationality, religion, age, disability, gender, marital status, sexual orientation, gender identity, union, or political membership.

Wages and benefits of Employment

Wages and benefits must meet, at a minimum, national legal requirements or industry benchmark standards, whichever is higher. Wages should cover basic needs and provide discretionary income. All workers should receive written and understandable information about their employment conditions and wages before employment, along with wage slips for each pay period.

Discipline:

Employee abuse and intimidation in physical, sexual, or verbal form is not acceptable and is strictly prohibited.

Health and Safety:

Our suppliers must provide a safe, clean, and hygienic working environment that considers industry-specific hazards. Adequate steps should be taken to prevent accidents and injury, and workers should receive regular and recorded health and safety training. Clean toilet facilities and drinking water must be accessible to all workers. Accommodations, if provided, should be clean, safe, and meet basic needs. A senior manager should be appointed as the Health and Safety representative.

Whistleblowing:

Our suppliers must establish an internal mechanism for reporting, investigating and remedying any wrongdoing in the workplace. Whistleblowers should not suffer any detrimental treatment as a result of raising genuine concerns.

Anti-Slavery and Trafficking:

All of our suppliers must comply with NiX by Nicola Harding's Anti-Slavery and Trafficking Policy, which is designed to prevent modern slavery in both our business and supply chains.

NiX by Nicola Harding is committed to working collaboratively with suppliers to ensure the highest standards of ethical conduct, environmental responsibility, and business integrity. Our suppliers are expected to embrace and adhere to these principles, and non-compliance may result in the termination of the business relationship.

Product Quality and Safety:


  • Quality Assurance: Our suppliers must provide products that meet the agreed-upon quality standards and specifications supplied by NiX by Nicola Harding.
  • Safety Standards: Our  suppliers must adhere to safety standards applicable to their products, ensuring that they do not pose risks to the health and safety of consumers.
  • Confidentiality and Intellectual Property:

    Our suppliers should respect the confidentiality of information shared by NiX by Nicola Harding and protect intellectual property rights. Unauthorised use or disclosure of confidential information is strictly prohibited.

    Continuous Improvement:

    Our suppliers are encouraged to continually assess and improve their social and environmental practices, aligning with industry best practices and evolving standards.

    Enforcement:

    Failure to comply with the Supplier Code of Conduct may result in NiX by Nicola Harding taking appropriate actions including but not limited to termination of the business relationship.

    Review and Amendment:

    This Supplier Code of Conduct will be periodically reviewed and may be amended to reflect changes in laws, industry standards, or company policies. Suppliers will be notified of any updates.
